Map the workflow before you automate it
A printable worksheet for defining the business problem, data, decisions, test cases and measures behind a useful automation or AI pilot.
A useful brief starts with the work
Use this original worksheet in a team conversation. It helps define a process before choosing automation or AI. It is a planning tool, not a readiness certification.
1. Business question
What should become easier or more reliable? Who owns the result?
2. Current workflow
What triggers the work? List the steps, tools, handovers and recurring exceptions.
3. Information
Which system is authoritative? Which information is missing, sensitive or unreliable?
4. Decisions and permissions
What may the system read, prepare or change? Which actions require a person?
5. Acceptance
Write examples that should pass and fail. Include missing data, wrong answers, duplicate work and an unavailable integration.
6. Measurement
Record the current effort, elapsed time and errors. Define the same measures for the pilot. Separate goals from observed results.
7. Operation
Who checks exceptions? How do you pause the workflow, recover records and update the knowledge?
