Vaneylen: understanding the order before automating it

Team interviews and workflow analysis for a growing clothing and printing business. From customer request to production readiness.

The business question

Growth puts pressure on the handovers between sales, design and production. At Vaneylen, the starting point was understanding where work gets stuck and what each department needs to move an order forward.

Start with the people doing the work

We interviewed the team and mapped the departments and their handovers. The analysis covered the existing KMS, email, Teamleader, Illustrator and the manual checks around them. A tool list alone would miss the decisions that connect those systems.

Follow one order from request to production

The proposed direction is one connected order file: customer request, order information, DTP preview, completeness check and production handover. Each step needs a clear owner and a definition of what makes the order ready for the next person.

What happens next

Agree the order of improvements, then deliver them step by step. Delivery time and pressure on the team still need to be measured. This is an analysis case, not a claim that the proposed automation is already running.
